Terms and Conditions

ALL BOOKINGS

  • We will forward a confirmation of your booking payment within 24 hours of receipt
  • A $200 valid credit card imprint and a valid driver’s license / passport (photo ID) are required upon check-in.
  • Guests under 18 years of age must be accompanied by a parent or guardian.
  • Strict ‘No Party Policy’: Failure to comply may result in eviction and loss of payments.
  • We cannot 100% guarantee any one particular apartment; however, we will certainly do our best to meet your requests. Priority will be given to direct bookings.

Monday to Friday: 9:00am to 4:00pm

Saturday/Sunday: 9:00am to 12pm

Public Holidays: 9:00am to 11:am

PRIVACY AND RESPONSIBILITY

We are committed to protecting your privacy in accordance with the Data Protection Act.

To protect customers’ privacy, a booking may only be discussed with the person holding that booking. Should other guests wish to check in before the main guest, permission must be given by the main guest, via email to reservations@aegeanapartments.com.au at least 24 hours in advance of check in.

The booking owner is solely responsible for ensuring that an invitee/guest/family member/friend complies with the below terms and conditions of entry. This person will be held responsible for non-compliance, any illegal activities and costs incurred.

PAYMENT, CANCELLATION, REFUND POLICY AND CHARGEBACKS

Payment for all accommodation must be made in full before arriving at Aegean Holiday Apartments.

Direct onlne and phone bookings must be paid in full 14 days before arrival in low season and 30 days before arrival in peak season (December, January, Easter and school holidays). 

Full payment will be charged to your credit card 14 days prior to check in (30 days in peak season). A 2.5% transaction fee applies to all card payments.

Alternatively, you can make a contactless direct deposit or transfer.

Direct bank transfer payments must be made at least 14 days prior to arrival (30 days in peak season).

Cancellations: Reservations may be cancelled without charge 14 days before check-in date (off-peak season) and 30 days before check-in during peak season.

If you have made your booking through any third-arty agent (eg online travel agents, airline etc), any changes, cancellations, financial information etc can only be done DIRECTLY via the agent with whom you booked. We are unable to cancel any third-party bookings.

Refunds: Please understand that, due to a substantial increase in bank card fraud, any refunds will be processed once our bank and credit card companies have confirmed that there was no illegal activity on the payment. We apologise for any inconveined that this delay may cause.

Chargeback: If you have paid and stayed at Aegean Holiday Apartments, attempting to clain a ‘chargeback’ will be considered fraud and theft, will be reported to the police and dealt with accordingly. 

GUEST NO SHOW

Guests not showing up will be charged the total price of the reservation

PRE-AUTHORISATION SECURITY DESPOSIT

A minimum pre-auth of $200 is held on all bookings to cover any damages, additional cleaning or lost keys. This bond will be released on guest departure, once the apartment has been checked. Please note that by acceptance of our terms and conditions, you are authorising Aegean Holiday Apartments to make any deductions related to accommodation and other charges from the credit card you have provided to us. Please note that we do not have any control over the period of time your bank may take to release these funds to you.

APARTMENT ALLOCATION

Each Aegean apartment is individual owned. The photographs on our wesite and online booking sites provide examples of some of the apartments in each grade level in the lettings pool; it is not possible to show every apartment, therefore apartments and decor may vary. 

Every effort is made to facilitate your allocation requests. Occasionally this is not possible, due to any number of restrictions including: regulatory requirements, physical booking volumes or maintenance conditions. We would appreciate your understanding that the time (in advance) of a booking has no bearing on room allocation,. All rooms have air-conditioning in the main living area, with ceiling fans throughout. we have a small amount of apartments with air-con in the bedroom. While we cannot guarantee any guest these apartments, it may be put on guest requests at time of booking.

CHECK IN/OUT INFORMATION

Check-In After 2:00pm (Early check-in, if available, can be arranged by contacting reception 24 hours prior to arrival).

Check-Out: Before 10:00am (Late check-out, if available, can be arranged at reception in advance for $20/hour). 

OUT OF HOURS CHECK IN

If you are arriving when reception is closed (4pm weekdays, 12pm Sundays, 11pm public holidays), please complete our online check in, which we will email and SMS you the day before arrival. We will leave a key/fob and your arrival/car park information in an envelope addressed to you in the safe at Aegean’s entrance. Please come down to reception in the morning to collect your second key and/or to register. If, for any reason whatsoever, you do not sign the required registration form – through online or in-person check in – this does not waiver your acceptance of any of our terms and conditions, as they have been shared with you prior to check in.

OUT OF HOURS CHECK OUT

If checking out before 9am (when reception opens), please remember that you will need your keys to exit the car park. Please leave your keys in the key deposit box when you leave (not the safe!). This is located inside the lobby of the building to the right of the sliding doors.

PRE-ARRIVAL ROOM CHECK

Your apartment will be pre-checked by one of the Aegean team. However, should you find something amiss, please lt us know and give us the opportunity to correct it. We can make a difference while you are on site but, once you have left, we are unable to find a pleasing solution to what made you unhappy during your stay.

STARTER ITEMS

The Aegean is not a hotel but our self-catering apartments provide you with enough basic items to carry over your first day’s stay (toilet paper, toiletries, washing powder, toiletries etc). Thereafter, additional items may be purchased from the many nearby shops and supermarkets. Should you urgently need toilet rolls or other starter pack items, these can be supplied to you at reception for an additional charge.

CAR PARKING

One car parking space is allocated per apartment in our secure basement car park. Please ensure that you provide reception with your car registration number at check in and park ONLY IN YOUR ALLOCATED SPACE. The maximum height clearance for our car park is 1.9 metres. If your vehicle exceeds this height, or if your party has multiple vehicles, you will need to park in one of the nearby public car parks.

Please remember that as a private parking facility we do reserve the right to have illegally parked vehicles towed and stored at the cost to the vehicle owner. You may not allow anyone else, for any reason whatsoever, to enter or use this area.

VISITORS’ CAR PARK

Our ground-level visitors’ car park is for two-hour visitor parking only and for restaurant guests. There is a three hour street parking limit (during the week) around the complex.

SMOKING POLICY

Aegean Apartments is a non-smoking property. As per government regulations, smoking is banned in all enclosed areas, restaurants, licensed clubs and pubs in Queensland. A $1000 AUD fee applies for additional cleaning due to smoking.

LOST KEYS/LOCK OUTS/CALL OUTS

Please call the after-hours number (07 5570 2338) for assistance should you find yourself locked out. Please note that a fee of $80 after office hours is charged for all lock outs and call outs.

On departure, the number of keys that you have been issued must be returned. If not, a new key and fob will have to be ordered immediately, at a cost of $125. If both keys/fobs are not returned, a charge of $450 will apply.

CLEANING & LEAVING

All refuse must be taken down to the refuse area in the baasement. Dishes must be washed, dried and packed away, and the unit left neat and tidy. Failure to return the unit to this condition will result in additional cleaning being necessary. This cleaning is charged out at $100 per hour, or part thereof, excluding additional cleaning that may be required for soft furnishings. These charges will be deducted from the security deposit (pre-auth) without further notification. 

If you have hired beach towels from reception during your stay, please leave them in your room on departure.

If you are staying for 8 days or more, a service clean is automatically scheduled in the middle of your stay. You will receive an SMS notifation the day before your service clean. This will involve a change of linen and towels, and a wipe down of countertops and floors.  The cleaners will knock and enter and do the service clean.  Should you not require the service clean, please advise reception 24 hours in advance.  

LINEN AND TOWELS

Apartments are NOT serviced for stays under eight days. Each apartment has its own laundry facilities for freshening items up.

Should you require cleaning or additional linen or towels, this can be arranged at an additional charge. Please discuss with reception. 

BEACH TOWELS

Apartment bath towels may NOT be taken to the beach or outside of the Aegean. Beach towel rental is available from reception for $5/towel for the duration of your stay.

EXTRA BED/GUEST

One roll-out bed per apartment may be hired for an additional guest for $30/night. Bedding and towel provided.

PORTACOT

A portacot may be hired for $10/night. Bedding and towel provided.

INDOOR & OUTDOOR POOLS, SPAS, GYM, TENNIS COURT & BBQ

Open from 7am to 9pm daily. Children must always be under adult supervision. Jumping, diving or somersaulting into the pools is strictly prohibited, as are projectile toys in the indoor pool (balls, water guns etc). Use of glass containers or glass in any form whatsover in the pool, spa and gym areas is strictly forbidden.  Please ensure you have fully dried off from the pool before reentering the building or using lifts. Please clean the BGQ areas after use. Cleaning materials and bins are available at the BBQ areas.

GUEST CONDUCT AND NOISE

Guests and invitees must behave responsibly. Breach of house rules may result in eviction, with charges borne by the guest. Guests are liable for any damage caused.

Unruly behaviour and excessive noise will not be tolerated. After 10pm all noise must be contained within the apartment, with the balcony doors closed.

When a guest registers at reception, or an invitee proceeds beyond that point, they shall be deemed to have agreed to be bound by these conditions. Charges will apply for any unnecessary fire alarms from the QLD Fire and Rescue. Charges will apply for all damage caused by guests while in house.

NO PARTY POLICY

We have a very strict NO PARTY policy. This includes, but is not limited to: stag, hens, bridal parties etc.

SCHOOLIES

Aegean Apartments do not have the policies, procedures or resources to accommodate the unique needs of school leavers during the annual Schoolies period. In particular, it does not have adequate resources to engage qualified security personnel to guarantee the safety, comfort and convenience of guests during this time. For this reason, we reserve the right to reject bookings from school and/or university leavers for the entire Schoolies period. All guests must be over 18 years and provide photo ID and credit card or cash bond of $200 per person for security.

PETS/ANIMALS

Pets, birds or animals may not be brought onto the premises without prior written consent of the Body Corporate. any guest housing an unauthorised pet will be charged a $850 pet cleaning fee on departure.

INTERNET/WIFI/CHROMECAST

Your apartment has a Wi-Fi internet modem. You will find the username and password on a sign on the wall above the modem. You will need to be signed into your apartment’s Wi-Fi to use the TV chromecast for streaming.

MISSING ITEMS

Any missing, lost or broken items from apartments will be charged to your bank card or deducted from your pre-authorisation. This includes missing or damaged remotes for TV, aircon and fans.

ITEMS LEFT IN THE UNIT

Any groceries or drinks left in apartments will be disposed of when cleaning commences. We accept no responsibility for lost property or  for items left at the Aegean. It will be your responsibility to arrange collection or courier of these items, at your cost. We will hold these items for a maximum of one month, after which they will be donated to charity.
